Know when deliveries are late and when returns go missing
Today, there's no way to know if a delivery is on time or late. Macy's orders average 6.7 days to deliver against a 3–5 day SLA — but that's invisible. Anja manually checks every fulfiller every morning for overdue dispatches, sending around 6 chaser emails a day. On the returns side, 3,203 RMAs have never been receipted and 137 partial receipts went undetected.
REF-6062 — Delivery Tracking + SLA Monitoring Infrastructure
The foundational work. Per-distributor SLA configuration (dispatch windows, delivery windows, cut-off times, regional working day calendars with bank holidays). EasyPost integration for carrier tracking across UPS, FedEx, USPS, OnTrac, Royal Mail, and Evri — both outbound deliveries and return shipments. Automated dispatch overdue detection replaces the manual morning check.
REF-6063 — Return Exception Detection + Tracking
Automated detection of four types of return problem: partial receipts (DC received some items but not all), no receipt after delivery (EasyPost confirms the return arrived at the DC but nobody processed it within 48 hours), aging unreceipted RMAs (returns that have been open too long), and customer return overdue (return label issued but no movement). Each exception follows a lifecycle with activity logging so the team can track what they've done — contacted the DC, raised with marketplace support, etc.
REF-6064 — Dashboard + Exception Admin UI
The screens that make all of this visible. Lateness dashboard with tabs for overdue dispatches, delivery lateness, and return exceptions. Exception detail view with activity logging and lifecycle management. SLA configuration admin screen where ops can view and edit per-distributor SLA settings and manage regional working day calendars.
Know when orders are stuck or lost — before anyone complains
There is currently no automated way to know if orders are failing to flow through the pipeline. The team manually checks each Mirakl instance every day. When orders silently fail to reach a fulfiller — as happened recently with Noatum and GWW — it's discovered days later. With volume growing (SFB expansion, Middle East, Reiss onboarding), manual checks won't scale.
REF-6065 — Order Pipeline Health Monitoring
Monitors the full order pipeline across all 11 distributors and all integration types (Mirakl, Shopify, Tradebyte, BlueJay, Amazon, eBay). Detects stuck order sources (processing failures), missing host references, duplicate orders, and volume anomalies (e.g. zero orders from Nordstrom on a Tuesday morning). Exposes issues via API for n8n to route as Slack alerts.
Give everyone the view they need
Different teams need different views of orders and fulfilment data, and right now most of them are working blind or switching between Mirakl admin and R360. Brands can't see their own orders (broken by a host assumption — urgent for Reiss). The fulfilment screen is hard to use at volume. There's no KPI dashboard for fulfiller performance and no central place to track an order end-to-end.
REF-6066 — Brand Order Access Fix
Bug fix. Brands currently can't see their owned orders because the code assumes there's always a host. This broke for brands that don't have a host configured. Urgent for Reiss onboarding.
REF-6067 — Fulfilment Screen Usability
The existing fulfilment screen works but becomes unusable when managing hundreds of fulfilments. Filters don't persist across navigation, there's no way to filter by DC or jurisdiction. This adds saved filter selections, DC filtering, jurisdiction filtering, and better pagination.
REF-6068 — Fulfiller KPIs + Central Order Tracking
Two new views. The fulfiller KPI dashboard shows dispatch SLA compliance, cancellation rates, and volume by distributor and region — with date range selection and export. Filterable by fulfiller, distributor, host, and region. The central order tracking view replaces the back-and-forth between Mirakl admin and R360 with a single unified view showing order status, fulfilment endpoint, and expandable detail rows. The matrix view shows orders by status and day over the last 14 days — stuck orders light up immediately.
Suggested Phasing
Not everything needs to ship at once. Here's what can deliver value earliest:
No external dependencies
REF-6066 Brand order access fix (unblocks Reiss)
REF-6062 (part) SLA config + dispatch overdue detection (replaces manual chaser process)
REF-6065 (part) Stuck order detection (catches processing failures)
Main development
REF-6062 (part) EasyPost integration + delivery tracking
REF-6063 Return exception detection
REF-6067 Fulfilment screen usability
REF-6065 (part) Volume anomaly detection
Depends on data flowing
REF-6064 Lateness + exception UI
REF-6068 Fulfiller KPIs + order tracking
These need the tracking data and SLA evaluation from Phase 2 to be meaningful.
